Hartley people recruitment on behalf of our client are seeking an Office Manager & Patient Coordinator in Clonmel. The Office Manager & Patient Care Coordinator manages the daily operations of the specialist dental clinic, supporting patient experience, staff coordination, and administrative efficiency. The role acts as a central liaison between clinicians, reception, and patients, and provides reception cover one day per week.
Key Responsibilities:
Clinic Operations
- Oversee day-to-day administrative and operational functions
- Ensure clinic policies, procedures, and workflows are followed
- Support clinicians and administrative staff with operational needs
- Identify and resolve operational issues proactively
- Assist with onboarding and training of administrative staff
Staff Timekeeping & Rostering
- Monitor staff attendance, including clock-ins, clock-outs, and breaks
- Ensure accurate recording of staff hours in line with workplace policies and awards
- Follow up on timekeeping discrepancies
- Assist with staff rostering in collaboration with management
- Support employment and compliance requirements
Patient Care & Experience
- Act as a patient liaison to support a positive care journey
- Assist with complex enquiries, concerns, and complaints
- Coordinate patient communications, recalls, and follow-ups
- Support treatment coordination processes
- Maintain patient confidentiality and privacy at all times
Reception Coverage
- Provide full reception duties one day per week, including:
Answering phones and emails
- Booking and confirming appointments
- Greeting and assisting patients
- Processing payments and claims
- Provide additional reception support during busy periods or staff absences
Administration & Reporting
- Maintain accurate clinic records and documentation
- Prepare reports on staff hours, attendance, and clinic operations
- Provide administrative and compliance support to management
- Liaise with external service providers as required
Skills & Experience:
- Strong organisational and time-management skills
- Excellent communication and interpersonal abilities
- Experience in dental or healthcare administration preferred
- High attention to detail, particularly with timekeeping and compliance
- Ability to multitask and manage competing priorities
- Professional, calm, and patient-focused approach
